Administrator at the Swedish Schools Inspectorate in Stockholm

The Swedish Schools Inspectorate works for a school where all children, students, and adult learners receive a good quality education, an equitable education, and knowledge in a stimulating and safe environment. Through our reviews, we play an important and driving role in promoting equity and good academic results in Swedish schools. Our operations include supervision, quality reviews, and licensing for independent schools. We are located in Stockholm, Gothenburg, Linköping, Lund, and Umeå. The main office with all support functions is located in Stockholm. The department for licensing and school finances is also based in Stockholm.

We are currently seeking a driven administrator for the economic review unit at the Swedish Schools Inspectorate.

At the authority, the work as an administrator is based on an administrative core assignment that allows administrators within the department for licensing and school finances to cover for each other during absences and peak workloads, which means you will also collaborate with colleagues and managers within the department.

The work includes tasks related to case management, such as registering new cases, record-keeping, archiving, releasing public documents, and dispatching and publishing decisions. Personnel and financial administration are other tasks included in the administrators' assignments, such as during hiring and terminations, as well as invoice management. Furthermore, it includes handling mail and packages, as well as providing basic IT support regarding operational systems, Office packages, etc. As an administrator at the Swedish Schools Inspectorate, you support your manager with other recurring tasks, such as booking venues and vacation planning.

In addition to this administrative core assignment, simpler processing measures in cases may also be included, such as compiling financial information, quality assurance of information, handling mailings, and receiving submitted documents. An example of this is that the administrator in the economic review unit manages our collection of annual reports from principals who are not limited companies. This involves registering information in an Excel document, which means that knowledge and interest in Excel and basic finance are advantageous.

The role involves daily contacts with employees in the units and the manager, as well as some external contacts.

Qualifications

We are looking for someone who is communicative, structured, self-driven, unpretentious, and enjoys taking initiatives and working towards solutions to problems. The work is characterized by a high service orientation and the ability to prioritize, as well as a sometimes high pace. It is an advantage if you have an interest in finance, as the assignment for the economic review unit involves processing and investigating financial information from individual principals.

You have:

  • a high school diploma or equivalent education that the employer assesses as equivalent.
  • current experience working with record-keeping (the authority uses W3D3)
  • current experience of similar administrative tasks in municipalities, regions, or government agencies
  • good computer skills with solid knowledge of Outlook, Word, Excel, and PowerPoint
  • very good knowledge of Swedish in speech and writing

It is advantageous to have:

  • acquired knowledge in finance through education, work, trust assignments, or equivalent
  • post-secondary education
  • current experience from the Swedish Schools Inspectorate
  • experience entering data into databases/operational systems

The Position
